Before starting work at Loyola Medicine, you need to complete a variety of important action items to ensure a smooth onboarding process. Use this page to guide you each step of the way.

New Hire Mandatory Processes
The following steps must be completed before you will be able to begin work.
Throughout the pre-employment process, most of our communication will come through email. Please watch for multiple emails between now and your scheduled start date. Be sure to check your spam/junk folder if you don’t see an email within the timeline below.
Loyola Medicine is a member of Trinity Health. Some of the emails and communication you receive may come from Trinity Health.
If you have questions, you can email your coordinator. That contact information is found in your Welcome email.
Our communication timeline is as follows:
- Pre-Employment (Welcome) Email Checklist
- Within 24 hours of accepting offer
- Reminder Email
- Sent as needed, or until onboarding is complete
- "Cleared to Start" Email
- Friday before start date
- Includes Orientation Information
- Department Welcome Email or Phone Call
- Includes instructions for reporting to work after orientation
- This step will be completed in Workday (Candidate).
- All 3 tasks (Offer letter, SSN, Personal Information) must be fully completed before we will be able to proceed.

- If your position requires specific education, licensure, or certification, please reply to the Welcome Email from your Recruiter with this information.
- Please monitor your email regularly and respond quickly to any request which is sent, to ensure that your start date is not delayed.
- If your position requires BLS certification (Basic Life Support for Healthcare Providers) and you do not yet possess one, follow THIS LINK to view a list of approved providers.
- Please Note:
- BLS certification is required before your Employee Health Appointment, email certification to your Recruiter.
- Your Employee Health Appointment is an assessment that includes a review of the functional requirements of the position, a urine drug screen, and a blood draw = all provided at no cost to you
- You are responsible for scheduling your Employee Health Appointment, please call 888-584-7888 within 24 hours of signing your New Hire Offer letter
- Hours of Operation: Monday – Friday 7 am – 9 pm CT

- Your appointment must be completed at least 10 business days before your start date
- Your appointment will take place at Loyola University Medical Center in the Mulcahy Building (Building 106) located at 2160 S. 1st Ave. Maywood, IL 60153. The Employee Health Department is located on the 1st floor
- You must arrive 20 minutes prior to your scheduled appointment
- Appointments can last approximately 2 hours. If you are unable to attend your appointment, you will need to reschedule (1 time only) with your Recruiter at least 24 hours before your scheduled appointment
- You will park in the lot directly in front of the Mulcahy Building. Please take a ticket when entering the lot and a parking pass will be provided to you once your appointment is complete. Employee Health Map
- You will need to bring to your appointment:
- Completed Employee Health Exam Packet
- Valid government-issued photo ID
- Immunization
- ALL patient facing colleagues must complete the Fit Test Form 2022 and Fit Test Certification
- Please Note: All Male employees who require respirator FIT testing MUST shave before appointment to be compliant with OSHA requirements.
- Urinalysis Drug Screen is required at the time of your scheduled Employee Health Appointment

- Vaccine requirements include:
- Varicella (chicken pox) - lab documented proof of immunity
- Influenza (Flu) – proof of vaccination from current season October-April 30
- Mumps, Measles & Rubella (MMR) - lab documented proof of immunity
- Pertussis - documentation of Tdap vaccine
- Hepatitis B - lab documented proof of immunity
- Negative QuantiFERON gold within 3 months of screening or if positive QuantiFERON gold must have negative chest Xray at Loyola University Medical Center
- Meeting the immunization requirements is a condition of employment. Candidates may not join Loyola Medicine until the requirements have been met.
- This step will be completed through Sterling.
- Watch for an email from noreply@sterlingcheck.com and follow the instructions. This process may take multiple weeks, so it is important to fill out the information as soon as possible.
- After you enter your information into Sterling, the report can be processed while other pieces of the pre-employment process are being completed.
- It is important to fill out the Employment Verification portion as accurately as possible. Please do not include any unpaid/volunteer opportunities, or employment outside of the United States, as Sterling will not be able to verify it. Sterling may email you directly to request additional documentation or contact information if they are unable to complete the verification.
- Please note you will not receive a confirmation email once you have submitted your background check. If you have specific questions regarding the completion/submission of your background check, please contact Sterling at 888-889-5248 or candidate.support@sterlingcheck.com.
- This step will be completed in Equifax.
- You will need to follow the two-step process to complete your I-9 Verification:
- Step 1: Select Loyola University Health System, MacNeal Hospital or Gottlieb Memorial Hospital, depending on where you will be working, as your location AND complete the 4 Forms.

- Appointment Attestation
- Step 2: Present your documents during your scheduled in-person appointment.
- This appointment must be completed by your 3rd day of employment.
- Please visit the Official Website of Homeland Security for a list of acceptable documents.

- If you have specific questions regarding the completion of your I-9, please contact Workforce Solutions Support at 877-664-8778 or workforcesolutions@equifax.com.
- Step 1: Select Loyola University Health System, MacNeal Hospital or Gottlieb Memorial Hospital, depending on where you will be working, as your location AND complete the 4 Forms.
- This step will be completed in Workday (Employee).
- PLEASE NOTE: If you are a prior employee, student or contractor, onboarding documents may not be available until your first day of employment. Please complete them during your 1st week of employment.
- You must be hired into the Workday system before you will be able to complete this step. You will receive new login information once your employee account has been created.
- First, you’ll need to activate your account. You will receive two (2) automated emails from Trinity Health with your username and temporary password. This may take up to five (5) business days after you sign your offer letter.
- Once you login, please complete all the onboarding tasks available to you.
- PLEASE NOTE: that as you complete certain tasks, more tasks may appear. (The I-9 Onboarding Task has been done through Equifax, hit Submit to move on.)

- As you complete these mandatory pre-hire onboarding processes, you can rest assured we are doing everything on our end to get you started as scheduled!
- You will receive an email (Friday before your start date) notifying you that you are approved to start work, if you are cleared to start work.
- This email will include your Day 1 New Colleague Orientation (NCO) schedule and instructions. Please read this email carefully.
- If for any reason you are not cleared to start before the deadline, we will notify you via email and let you know the next steps.
